Job Overview: The Operations Assistant works with the Operations team, reporting to the Deputy Director of Operations to support day-to-day business operations and related administrative responsibilities for IRC’s offices in Atlanta. The primary areas of responsibility are managing IRC’s phone & appointment system and assisting with fleet management, IT, and vendor procurement as well as tracking office inventory, and assisting with facility improvements.

Major Responsibilities:

Responsibilities include, but are not limited to:

• Manage phone system for the Atlanta, Miami, and Tallahassee offices. This includes answering incoming phone calls and transcribing voicemails to ensure staff are receiving messages from clients or external parties.

• Utilizing appointment scheduling software/application to book appointments for direct service providers based on client requests.

• Support Operations team with paying office expenses, troubleshooting IT equipment/services, and maintaining office equipment inventory.

• Provide coverage for front desk operations to ensure clients and stakeholders are adequately served.

• Work closely with Operations team with administrative tasks.

• Assist with maintaining office supplies, processing office supply requests, and managing inventory.

• Other duties as assigned.

Job Requirements:

Education: High School Diploma or equivalent required.

Work Experience:

• minimum of two years’ experience strongly preferred.

Demonstrated Skills & Competencies:

• Proficient in Microsoft Office applications (Word, Excel, Outlook); ability to use the internet and other digital tools for data entry, research, and problem-solving purposes; database familiarity is a plus.

• Proven organizational experience with the ability to juggle multiple tasks, set priorities, effectively manage time, demonstrate timeliness, and meet deadlines with accuracy and attention to detail.

• Fluent in English, both spoken and written. Spanish proficiency is not required but highly preferred. Additional language capacity is a plus.

• Ability to effectively communicate and work as a team member with collaborative partners, the community, and clients in a cross-cultural, multi-disciplinary environment.

• Ability to work independently and as part of a team.

• Valid driver’s license and access to a personal, insured vehicle.

Working Environment:

• A combination of standard office environment, remote work, and ‘field’ time within the service delivery area to perform the above outlined responsibilities.

• Occasional domestic (non-local) travel required; up to 10%.

• May require occasional weekend and/or evening work.

Compensation:
ATL: $17.80 – $19.40
MIA:$16.40 – $18.90
TAL:$16.40 – $18.00

Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.

Part-time employees are eligible for a proportionate amount of paid time off. These additional benefits apply to employees who work at least 6 months within a 12 month time period.
