1.Who is the Danish Refugee Council?
Founded in 1956, the Danish Refugee Council (DRC) is a leading international NGO and one of the few with a specific expertise in forced displacement. Active in 40 countries with 9,000 employees and supported by 7,500 volunteers, DRC protects, advocates, and builds sustainable futures for refugees and other displacement affected people and communities. DRC works during displacement at all stages: In the acute crisis, in displacement, when settling and integrating in a new place, or upon return. DRC provides protection and life-saving humanitarian assistance; supports displaced persons in becoming self-reliant and included into hosting societies; and works with civil society and responsible authorities to promote protection of rights and peaceful coexistence.

2. Purpose of the consultancy
The Danish Refugee Council based in Nairobi Regional Office seeks proposals from a consultant to Produce AR (Augmented Reality) feature on symposium folders. The AR feature will showcase elements such as borderlands programs, dynamics of borderlands, and concepts, using generated 3D content including visual and haptics. The selected company will work with DRC to co-design the products.

3. Background
The DRC EAGL country and regional teams have gained significant experience, establishing itself as a key agency in implementing programs spanning the humanitarian, development, and peacebuilding space within the borderlands. With this wealth of expertise, the EAGL Regional Office aims to conduct a symposium to showcase these accomplishments and insights.

The symposium is part of a series, following a successful internal workshop in July, the event in October will involve partners and organizations, with a central emphasis on the exchange of insights and lessons learned. The event will conclude with a dedicated session for donors and policymakers.

4. Objective of the consultancy
The final product of the borderlands consultancy will be Augmented Reality feature and design on workshop communications materials.

5. Scope of work and Methodology
The Consultant will be required to prepare a detailed methodology and work plan indicating how
the objectives of the project will be achieved, and the support required from DRC.
In addition, the consultant will be required to work with the project team looking at the data collected and highlighting processes to cover any information gaps.

6. Deliverables
The Consultant will submit the following deliverables as mentioned below:

Phase 1 (Review)

Expected deliverables: Presentation

Indicative description tasks: Inception meeting

Maximum expected timeframe: Oct 4th

Phase 2 (Analysis)

Expected deliverables: Intermediate report
Indicative description tasks: Review data collected by DRC and agree on best design themes and visual style, including maps zoom feature as needed.
Maximum expected timeframe: Oct 9th – 18th

Phase (3 Reporting)
Expected deliverables: Final report

Indicative description tasks: Final product review, sign off and on day support
Maximum expected timeframe: Oct 21st – 25th

The Consultant will provide the documentation in a QR code link and image touchpoint.

7. Duration, timeline, and payment
The total expected duration to complete the assignment will be no more than 2.5 weeks.
The consultant shall be prepared to complete the assignment no later than the 25th of October 2024.

9. Eligibility, qualification, and experience required
Essential:
• Experience with digital design, graphic design, animation, computer science, and other relevant courses.
• Experience with immersive media development and delivery
• Experience working with INGO’s delivering similar products Qualification:
• At least Degree in digital design, graphic design, animation, computer science, and other relevant courses.
Desirable:
• Experience collecting and editing data in borderlands areas • Eligibility: – The consultant has the authorisation to work in Kenya. • Experience: – A minimum of 5 years.

10. Technical supervision
The selected consultant will work under the supervision of: Regional Borderlands Specialist.

11. Location and support
The location is Nairobi, Kenya. The Consultant will provide her/his own computer and mobile telephone, and any other essentials required for the accomplishment of the deliverables.

12. Travel
Travel is not required however all logistical costs (if required) shall be covered by the consultant.

· Financial proposal with budget breakdown. The consultancy fee should be quoted in USD and should account for 20% withholding tax for non-residents and 5% withholding tax for Kenya residents

· Contacts/References of three organizations that have recently contracted the applicant to carry out similar assignment

• At least 1 copy of contract (confidential information can be redacted) – as proof of undertaking similar assignment

. Duly filled, signed & stamped Supplier Profile & Registration Form, Supplier Code of Conduct & General Conditions of Contract, Supplier References attached as Annex B, C, D & E.

When Bids are emailed, the following conditions shall be complied with:
