Job Overview:

We are seeking an exceptional, innovative Admissions Officer who will be a member of the Community Engagement Team (including Admissions, Marketing, Communications and Development), and the School Admin Team. You will have support the Community Engagement Team and will be responsible to the Admissions Director.

The Admissions Officer will be a member of the Community Engagement Team (including Admissions, Marketing, Communications and Development), the School Admin Team, and will be responsible to the Admissions Director.

Specific responsibilities

The Admissions Assistant will:

1. Under the supervision of the Admissions Director, maintain all essential elements of an intentionally inclusive, personal and applicant-oriented admissions process, fully aligned with our Admissions Policy and always including the following:

  • focused, high quality customer care at all times
  • a personal and immediate response to all enquiries, designed to be the foundation of a meaningful relationship with each prospective new applicant
  • the provision for each new enquiry of accurate, detailed information about the school, its mission, and curriculum
  • arranging and leading one-to-one on-site visits and tours
  • providing all new enquirers with personal support and guidance through the admissions process, ensuring all components of the application process are completed correctly
  • following every application to the point of final acceptance (or withdrawal of interest) by reviewing application forms, ensuring that all relevant documentation is received, recorded, and shared with the Admissions Committee for review
  • arranging and supervising applicant testing, where appropriate
  • explaining the nature of the school’s IB curriculum accurately and in detail, seeking guidance where necessary – liaising with the Admissions Director, IB Coordinators, the Student Wellbeing Team, or the Director – and providing quick, personal follow-up with the family
  • where necessary, and in consultation with Halcyon’s Designated Safeguarding Lead, contacting current/former school to ensure appropriate safeguards are in place
  • preparing and arranging final applicant interviews
  • maintaining regular contact with all applicants to share the status of their application, build relationships and anticipate potential questions or concerns
  • advising parents and students about the provision of EAL, SEN and additional language services
  • providing the Director and Admissions Director with complete files on each applicant in order to facilitate a decision on acceptance
  • preparing and administering all formal communications, including offer letters and parent contracts for successful applicants
  • recording and maintaining all enquiries in the school’s Google and CRM systems
  • maintaining effective tracking of all applicants through the enrolment process
  • supporting all public promotional events – for example, Open Houses and Orientation events – through the school year
  • communicating with and providing training for Student Ambassadors to assist with Open Events
  • developing and nurturing an effective, positive ‘word of mouth’ school profile – with educational consultants, relocation consultants, embassy liaisons and parents – to build lasting, meaningful, and productive relationships.

2. Support the Community Engagement Team (CET), comprising admissions, marketing, communications and development, with various tasks throughout the school year, including but not exclusive to:

  • supporting the CET with the planning and delivery of wider school events, such as alumni events, gala dinners, and the school show. This includes support with designing programmes/certificates/promotional material for events, taking photographs of students involved, and preparing seating plans.

Admissions Officer – Person Specification

The successful candidate will work with the Admissions Director to provide a professional approach to all enquiries, applicants and their families. The post involves daily communication with academic staff, prospective families and staff from other schools. They will provide key administrative and customer service support.

Essential:

  • Should hold a Bachelor’s degree, or relevant professional experience
  • Excellent attention to detail
  • Excellent time management skills
  • Ability to take initiative and work independently and as part of a team
  • Excellent digital skills, including experience maintaining critical database systems and spreadsheets
  • Excellent written and verbal communication skills: clear, articulate, professional in speaking and writing
  • Comfort in speaking to small and large groups
  • Ability to work accurately at pace
  • Demonstrate compatibility with the Halcyon philosophy and a commitment to meet the demands of an innovative and expanding school.

Desirable:

Knowledge and experience of admissions within a school environment

Experience working with a CRM (Hubspot)

Proficiency in more than one language.
