What you will be doing

Title: Business Manager & Executive Assistant

POSITION SUMMARY:

Reporting to the Senior Vice President, Global Finance, the Business Manager & Executive Assistant will provide high-level administrative support to key members of the executive leadership team, including, but not limited to: President, Senior Vice President Global Finance and President, International Growth.

  • Business Manager for Senior Execs, including: President, Senior Vice President Global Finance, President, International Growth.
  • Office Manager for office with approximately 100 staff, manage office requirements including review of premises when required
  • Global Travel Coordinator for World Courier – Cencora
  • Line management of one staff member
  • Organise major events including Global Summits and Lead Team meetings

PRIMARY DUTIES AND RESPONSIBILITIES:

Business Management & Executive Support

  • Performs advanced, diversified, and confidential administrative support for President and Senior Execs
  • Maintains flexibility and a 24/7 mind-set to be on call when executives are travelling in different time zones. On-hand to make any necessary changes as / when they arise
  • Processes monthly expenses
  • Coordinates communications, including taking calls, responding to emails and interfacing with clients and internal/external stakeholders
  • Types and produces reports, spreadsheets and drafts, amends and finalises PowerPoint slides for presentations delivered by Senior Execs
  • Provides support within the team (covering for the other PA’s absences as and when required)
  • Organises confidential files, manages relevant data and maintains accurate records
  • Role models a positive ‘can-do’ work ethic; decisive, responsible, and takes ownership of issues that arise.

Meetings

  • Uses initiative to ensure appropriate prioritisation of extensive, complex and constantly changing diary priorities for both business and personal when required, ensuring all meetings are managed effectively. Makes changes where necessary, applies understanding of key priorities and objectives and ensures timing and logistical details are in place
  • Arranges lead team meetings, works closely with relevant Regional VPs/Lead Team members to arrange. Completes scheduling, sourcing venues / activities / ideas, books and manages event through to end
  • Ensures leadership team is prepared for all meetings and has all necessary materials (eg., key info, briefing notes, document printouts / changes to venue / transfer times, etc)
  • Attends relevant meetings, takes notes / action points as requested and distributes these to attendees

Headquarters Facilities & Office Management

  • Serves as the the go-to person for the management office – including employees of the office and visitors attending the office
  • Ensures meetings held in management office go seamlessly, with appropriate catering organisation
  • Works closely with Technology, Compliance and Human Resources teams to facilitate the setup of joiners, transfers, leavers and visiting employees from global offices
  • Works closely with building management and external cleaning staff to oversee the day-to-day maintenance of the office
  • Liaises with building management and external cleaning staff to oversee the day-today maintenance of the office, and identify and resolve any issues as they arise
  • Manages, monitors and orders office supplies

Global Vendor Management

  • Responsible for managing key vendor relationships for World Courier at a global level, and locally for the London office. Vendors including:

– Global preferred travel provider
– Expenses (Concur)
– Amex
– Preferred taxi, transfer and courier services
– Company mobile phone provider
– Other office suppliers

Events Management

Responsible for event planning & management for company events and off-site meetings (max 3 per year) including: global leadership and management events, Christmas party, summer party (Attendance may be required).

Travel

Responsible for arranging complex global travel management including: flights (including multi-leg trips), hotels, transfer, visas (arranging appointments, completing forms, etc), detailed itineraries and agendas. Occasional travel will be required for annual events.

EXPERIENCE AND EDUCATIONAL REQUIREMENTS:

Extensive previous experience in a fast-paced environment working as a high-level business manager and executive assistant supporting, typically requires minimum five (5) years of progressively responsible experience.

MINIMUM SKILLS, KNOWLEDGE AND ABILITY REQUIREMENTS:

  • Line management experience
  • Strong track record successfully supporting senior leadership team members
  • Excellent communication skills – both verbal and written
  • Ability to independently manage multiple tasks, work under pressure and meet deadlines
  • Able to provide relevant ad-hoc information on request
  • Excellent attention to detail, organisational and time management skills.
  • Adept at handling sensitive and confidential situations, maintaining discretion and confidentiality at all times
  • Strong interpersonal skills
  • Ability to resolve issues quickly and efficiently
  • Strong knowledge of MS Word, Excel, Power Point and Outlook
  • Proactivity and ability to plan for and pre-empt any and every eventuality, including upwardly managing the executive team to ensure that their time is best utilised
  • Act as a mentor to, and set the tone and standard for, all other support staff
  • Ability to confidently liaise with, greet and support all levels of management/senior leaders and external guests
  • Ability to implement processes to ensure satisfactory audit practices
  • Strategic planning ability with sound technology skills, analysis, judgement and operational focus
  • Professional and confident presentation capability
