Come experience it for yourself and join our team.Purpose of the Role:Provide a professional and friendly point of contact to the event organiser to manage the pre-planning and detailed handover of all Conference and Banqueting events in line with 4 star requirements whilst providing a high level of guest care. Support the sales team to achieve the annual sales targets for the hotel.Main Duties:
- To arrive for work on time and in proper uniform
- To ensure a high standard of personal hygiene and grooming
- Ensure that your communications with clients in all Conference & Banqueting matters operate in a guest focused manner; always striving to exceed guest expectations thereby building customer and brand loyalty.
- Ensure you maintain a complete and expert product knowledge of the hotel including pricing, menu options, room capacities, equipment usage in order to best advice the potential customer and maximise yield potential.
- Provide a point of contact to “bookers” developing a steady working relationship going forward to gain loyalty and increase revenue.
- Ensure daily function sheet (listing the following day’s conference and banqueting events) is produced and communicated to all departments and updated on the function board.
- Produce on a weekly basis a detailed function sheet for the next 10 days together with an overview of business on the books for the next month.
- Communicate all function details in a timely manner to all appropriate departments by means of function sheets including chairing weekly ‘function sheet meetings’.
- Ensure any tentative bookings become definite bookings ASAP to ensure the system reflects current business levels.
- Update all relevant departments of any late bookings or last minute cancellations immediately.
- Become the in-house expert in the Event booking system (Hotsoft) ensuring it is utilised to its full potential and ensure relevant personnel are trained in its correct use.
- Participate in offsite promotional activities when necessary such as shopping centre promotions, wedding fayres, corporate site visits, etc.
- Work with the Conference & Banqueting Manager and the Sales & Marketing Executive to produce, on a weekly basis, a 3 monthly rolling forecast of sales within the Conference & Banqueting department.
- Keep up to date with industry trends, developments and changes in legislation which may impact on the Conference & Banqueting department.
- Report positive and negative guest feedback to the GM, relevant Head of Departments or Duty Manager and update the customer feedback form accordingly.
- To deal with customer complaints in an efficient and professional manner and to notify Management of these
- To upsell the Company products and services at all times.
Other Duties
- To ensure excellent customer service at all times in line with the Talbot Collection Customer Service Programme, ‘Empower Your Excellence’, recognising that you are an ‘Ambassador’ of the Talbot Collection at all times;
- To ensure professionalism and integrity at all times when communicating with both internal and external guests;
- To make certain that the four star standard of the hotel is portrayed in all your actions and dealings with internal and external guests alike;
- To establish and maintain a good working relationship with your colleagues and management at all times;
- To have total product knowledge of each properties services and facilities, and a complete knowledge of Talbot Collections product offering as a whole;
- To familiarise and adhere to company policies and procedures as outlined in the staff handbook;
- To be present and punctual for all in-house/external training programmes when requested;
- To adhere to all Fire, Safety and Hygiene regulations and to comply with the Health and Safety at work act 2005;
- To take a proactive involvement in Health and Safety ensuring to report and where possible take action on incidents of accidents or damage in the Hotel;
- To be proactive in maintaining energy efficiency within the Hotel;
- To comply with all policies and directives of the Collection;
- Any other sundry task not mentioned but within scope of the job.
Skills and additional requirements:
- 2 years’ experience in a similar role.
- Knowledge of HotSoft beneficial, but not essential
- Friendly and professional work attitude.
- Dedicated to providing an excellent guest experience
- Team player
- Good attention to detail
- A can do attitude
- Fluent English essential – written and spoken.
- Must be available to work variable shifts. This role will include occasional Saturday work
- Excellent interpersonal skills
- Strong multi-tasking, prioritisation, and organisational skills
