Objectives: General Support of Financial Administration of Donor funded Projects (maternity cover)

Tasks

  • Ensure the cash management by being responsible for the cashboxes: guarantee that the money is disbursed and/or the Advances are given according to the rules and from the right cashbox and allocated to the relevant project(s).

  • Carry out regular cash reconciliation (ensuring that physical cash balances are matching cashbook records).

  • Do the follow-up of the Advances given.

  • Inform on a regular basis if there are enough funds in the cashboxes for all projects.

  • Guarantee that the exchange of currency is done properly and from a reliable change office.

  • Check the vouchers and the relevant supportive documents (quality, authenticity, reliability, accuracy, and fairness).

  • Participate, if needed, in the major payments which must be done in the field.

  • Collect the relevant supportive documents for expenses/ purchases/ payments done in the field.

  • Prepare the necessary documentation for banking transactions (deposit cash or cheque, cash cheques, transfer letters, collecting monthly bank statement, etc.).

  • Prepare vouchers for booking and maintain daily register of cash and bank vouchers in the accounting software.

  • Ensure due payments for all items and services (after approval) as well as Advances.

  • Conduct monthly closure of accounts in accounting software.

  • Guarantee the respect of WHH financial guidelines and procedures.

  • Ensure the correct filing of all the financial and administrative documents.

  • Translate, if necessary, administrative and financial documents (invoices, cost estimations, official statements, bank statements, law texts, labor contract, internal procedures, internal key documents, etc.).

  • Scan and copy the key financial and administrative documents.

  • Fulfill any other tasks which are assigned by the management and correspond in general to the character of this position.

  • Promote safety awareness and environmental consciousness and comply with all applicable safety and environmental procedures and regulations.

  • Promote and take an active part in quality improvement processes.

  • Comply with labor discipline, labor protection and safety rules, fire-prevention requirements, industrial sanitation and labor hygiene rules, Safety, and Environmental regulations and guidelines.

    Specific Qualification

  • Qualification:

  • Formal education.

  • Not less than 2 years’ experience in finance.

  • Specific Knowledge

  • Intermediate to fluent level of verbal and written English

  • Accounting; bank payments

  • Knowledge of labor discipline, labor protection and safety rules, fire-prevention requirements, industrial sanitation and labor hygiene rules.
