Nonviolent Peaceforce (NP) is a dynamic, international non-governmental organization. We work with people affected by violent conflicts to enhance their security and dignity through Unarmed Civilian Protection (UCP). We work to reduce violence, protect civilians in countries affected by violent conflict and its aftermath, and help transform the world’s response to conflict situations.

OVERVIEW:

NP has been working in Darfur for several years, with particular focus on North Darfur and is now looking at expanding its operations – both geographically and through partners. Working through Unarmed Civilian Protection (UCP), NP centres local communities in preventing violence and promoting positive peace. The NP programming focuses on building capacities within local communities to engage in nonviolent self-protection methods such as protective accompaniment/presence, community-led safety and security initiatives such as conflict de-escalation techniques and early warning/response mechanisms. Secured funding spans several years and offers an exciting opportunity to be at the forefront of sustainable, civilian protection.

KEY OBJECTIVES/RESPONSIBILITIES:

Preparation of documents and payments

  • Prepare and ensure the proper signing of payment disbursement forms.
  • Create and process journal vouchers and receipt vouchers in accordance with financial procedures.
  • Manage cash payments at field sites and assist with monthly cash forecasting.
  • Accurately record day-to-day transactions in the relevant registers, ensuring timely updates
  • Conduct regular cash counts and reconcile with the cash register.
  • Manage salary payments for staff in Elfasher and field sites at month-end as needed.

Communication with Banks

  • Representing NP at banks and exchange offices for all NP related transfer and cash transactions and other business issues.
  • Develop and maintain good relations with bank representatives, exchange offices, service providers and other intermediaries to resolve problems.

Financial document review and Filing

  • Ensure that all payments are made against approved budget and sufficient supporting documents.
  • Cross check all NP ledgers against hard documents;
  • Ensure that all vouchers are complete with all supporting documentation (approval notes, goods received notes, contracts, invoices, receipts, ‘paid’ stamp etc.) as per NP financial and procurement procedures, and are reviewed and approved by the appropriate personnel and copies of all records are filed;
  • Maintain finance files (finance documents scanned and archived in NP files) and ensure that all documents, payment vouchers, receipts and donor reports and communication have been filed in the correct grant files and in the correct sequence for ease of reference.
  • Ensure that all vouchers are properly scanned and archived in a systemic manner on the NP SharePoint.
  • Ensure that Journal Vouchers are properly reviewed and approved at the end of each month and are fully backed up with supporting documents.
  • Maintain and update all transaction in QuickBooks and generate report accordingly

Other

  • Assist with audit preparation and financial reporting, identifying correct vouchers for review and scanning as required
  • Participate in professional development activities, as needed or requested
  • Perform other duties, as needed and/or requested by the supervisor
  • Visiting governmental offices upon request from the line manager including income tax office, social insurance, labour office ,etc
  • Ability to travel to field sites upon request

QUALIFICATIONS AND COMPETENCIES:

Education, Knowledge and Experience

  • Relevant university degree in accounting, business administration or other related field.
  • Preferably Three or more years of relevant experience with an international NGO.
  • Strong computer skills in MS Office programs, particularly Excel
  • Quick Books knowledge and experience an added advantage
  • Strong organizational skills as well as attention to detail
  • Oral and written Arabic & English skills
  • Commitment to the humanitarian principles (humanity, neutrality, impartiality and independence) and the work of Nonviolent Peaceforce
