Fundraising Administrative Assistant

Role Summary/Purpose:

The Fundraising Administrative Assistant will be responsible for processing and acknowledging donations, managing and ensuring accuracy of donor records, communicating with donors and supporting the Senior Fundraising and Development Manager.

Key Responsibilities:

  1. Assists the Senior Fundraising and Development Manager all aspects of donor records in the donor management database of individual, foundation and corporate donors to grow charitable giving
  2. Maintains and updates constituent records and lists to ensure effective outreach to the organization’s donors for maximum campaign and fundraising impact
  3. Provides overall administrative support to the Senior Fundraising and Development Manager, but not limited to: donor research, communications, stewardship and cultivation events
  4. With direction from the Senior Fundraising and Development Manager, creates procedures to ensure diligence and best development practices
  5. Assists production and distribution of mailings and reports
  6. Tracks and enter donations into the database, and update prospect and donor lists
  7. Maintain donor files
  8. Assists in timely acknowledgement/recognition of donors and contributions as appropriate through mail, email and phone
  9. Assists in sending pledge reminders and acknowledgments to members and donors
  10. Assists in provide monthly reporting on donor/fundraising information
  11. Assists with execution of annual fundraising campaigns and major gifts
  12. At the direction of the Senior Fundraising and Development Manager assists in the logistics of fundraising events
  13. Works with all staff to ensure efficient upkeep and tracking of donor related data
  14. Maintains constituent database: update and enter new records, produce queries, and generate reports
  15. Assisting in drafting and updating current templates for improved donor retention efforts such as acknowledgement letters, appeals and thank you letters
  16. Prepare mailings and follow up as required
  17. Assist with event planning logistics
  18. Attends some fundraising and donor-related meetings
  19. Attends some fundraising events including some offsite
  20. Other duties as assigned

Qualifications/Requirements:

  1. Bachelor’s Degree in Finance, Business Administration, or another related field of study;
  2. Ability to work in-person in Washington, DC a minimum of 3 days per week;
  3. Excellent computational, writing, communication, and organizational skills;
  4. Strong computer skills, including knowledge of MS Office Suites;
  5. Strong interpersonal and communication skills;
  6. Demonstrated ability to manage and prioritize project deadlines;
  7. Raiser’s Edge or other Database experience is a plus, but not required;

Desired Characteristics:

  1. Finance and fundraising experience preferred;
  2. Strong written and verbal communication and editing skills
  3. Strong financial/accounting aptitude
  4. Finance and fundraising experience preferred
  5. Ability to manage time responsibly and juggle multiple, varied tasks at once
  6. Flexible, energetic with positive attitude
