About The Role:

The Head of Operations and Administration (HOA) serves as a crucial second in command to the Executive Director, helping to support the staff, shape and deliver on the strategic imperatives of the organization and oversee all administrative and operational functions of the organization. The HOA provides leadership in impact measurement and program improvement, logistics and office management, financial management, staff performance, training and support, technology, and other aspects of the work as required.

Responsibilities:

  1. Organizational Leadership

    1. Provide thoughtful leadership that is inclusive, transparent, and empowering, building an organizational culture that ensures team members can thrive and that organizational goals are met
    2. Collaborate with the ED in setting and driving organizational vision and operations strategy
    3. Translate strategy into actionable steps for growth, implementing organization-wide goal setting, performance management, impact measurement, and annual operations planning
  2. Impact Measurement and Information Management

    1. Create and employ effective qualitative and quantitative data collection and management processes to monitor the progress and impact of the organization and its core programs
    2. Maintain current records of and provide timely reporting on the above in various formats as needed.
    3. Produce Annual Report and associated impact reports as requested with support from the leadership team.
    4. Act as a focal point for external researchers, guiding research activity as needed.
  3. Technical Support and Staff Training

    1. Train staff on organizationally adopted platforms, including Google Classrooms, Slack, Google Suite, Zoom, etc.
    2. Serve as primary Google Admin and manage all internal and external communication systems (emails, Slack, Zoom, Streamyard, social media access, etc.).
    3. Coordinate and provide technical support for occasional virtual engagement activities.
  4. Administration and Logistics

    1. Ensure that all organizational registration, documentation, policies, and accounts are up to date and in good standing at all times with all required entities.
    2. Assist in developing and ensure effective employment of program, administrative, HR, and financial policies and procedures.
    3. Support with procurement, travel, and event logistics as needed.
    4. Create and manage contracts, partnership agreements, and other official documents.
    5. Make recommendations on improvement of processes.
  5. HR

    1. Onboard and offboard all team members and interns/volunteers (contracts, handbook, orientation, training, account creation/deactivation, permissions, exit surveying, etc.)
    2. Manage and improve as needed organizational and individual feedback processes.
    3. Support current and former team members with recommendation letters, proof of association, or other HR-related needs on request.
    4. Create a safe space for team members to share feedback and concerns, relaying information as needed to organizational leadership.
    5. Create and lead staff wellness and remote team engagement programs.
  6. Other duties as assigned

Required qualifications:

  • Three or more years of experience in executive leadership roles
  • Excellent leadership skills, guided by kindness, empathy, and personal integrity
  • Ability to provide supportive and empowering direction, feedback, assistance, and motivation to team members while maintaining high standards of quality and execution
  • Understanding of business planning and regulatory issues
  • Solid grasp of data analysis and performance metrics
  • Ability to diagnose problems quickly and foresee potential issues

What else you should know:

This is a remote contract position. There is no fixed location requirement, but you must be available to meet and collaborate with team members located primarily in North America, Europe, and Africa.
