Job Duties
Responsible for the daily administrative and Human Resource (HR) duties at a Department of Corrections (DOC) institution. Provide assistance with recruitment and record maintenance for payroll processing as well as provide clerical support to all employees. The job involves a wide range of support activities inside HR unit, from coordinating meetings to maintaining employee records/database (manual and electronic) to posting job ads. Also, act as the liaison between HR and employees, ensuring smooth communication and prompt resolution of requests and questions. Provides clerical and administrative assistance to the Human Resources Officer (HRO) to ensure accurate and efficient administration of human resource operations to include recruiting, payroll processing, benefits administration, personnel file maintenance, data entry into Page-up, Cardinal, BES and the database and assist, when necessary, with time/leave maintenance. Acts as an HR advocate and assists the Human Resource Officer in day-to-day duties to provide effective customer service in all areas of Human Resources.
Minimum Qualifications
High School Diploma or Equivalent. Proven experience as an HR Assistant, Staff Assistant, or relevant human resources/administrative position. Knowledge of federal, state policies and procedures related to Human Resources including Fair Labor Standards Act (FLSA), Family Medical Leave Act (FMLA), Virginia Sickness and Disability Program (VSDP), Americans with Disabilities Act (ADA), and Worker’s Compensation. Excellent verbal and written communication skills. Excellent interpersonal skills to interact with all levels of management with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. Excellent organizational and time management skills with attention to detail. Proficient with Microsoft Office Suite or related software. Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications. Effective HR administration and people management skills. Exposure to payroll practices. Good understanding of HR functions and best practices. Knowledge of general Human Resource policies and procedures.

Skilled in Microsoft Office applications and Outlook. Skilled in record and file management systems. Demonstrated ability to communicate effectively verbally and in writing to all levels of management, employees, and general public. Demonstrated ability to prioritize and perform multiple tasks simultaneously, work independently and meet deadlines with minimal supervision. Clerical experience involving the performance of various office services support. Demonstrated ability to apply and interpret personnel policies and guidelines, interact with all levels of management and employees orally and in writing. Demonstrated ability to work independently and prioritize work.
Additional Considerations
Hands-on prior experience with an HR system (such as HRIS or HRMS). Familiarity with HR applicant software and resume databases. Some experience as an HR Assistant will be preferred. Knowledge of Department of Corrections (DOC) policies and procedures related to Human Resources. Working knowledge of timekeeping practices. Courses in business, office practices and procedures, and automated business applications.
