Position Description

ESB legal department provides in-house legal advice and transactional support to all core areas of ESB’s businesses. We aim to be a ‘best in class’ in-house provider of legal services, providing a quality service and adding value for our business clients in a focused range of practice areas property, planning and environment and employment law. We also provide legal assistance and support in a range of other areas of legal practice including EU law, procurement law, data protection law, licensing and company law to name a few. Applications are invited to apply for a Legal secretarial and administrative support for Legal Managers and Solicitors in the Legal team.

Key Responsibilities

  • Carrying out a wide range of legal secretarial and administrative functions including e-mailing, scanning, photocopying, database management, filing and file management, Dictaphone and copy typing.
  • Production of high-quality legal documents, letters, and reports.
  • Organisation of correspondence and files including new file set up, general filing, archiving.
  • Management of documents and files to archived secure storage
  • Liaising with solicitors, internal clients, and external service providers such as solicitor firms and barristers.
  • Processing and monitoring invoices for payment on ESB payment systems.
  • Diary management and meeting organisation.
  • Other duties as assigned from time to time.

Experience and Qualifications

Essential

  • A high level of competence in legal secretarial skills and the use of Microsoft Office Suite and in particular fast typing speeds (70 wpm or higher) and Dictaphone typing skills.
  • A positive attitude excellent organisational, team and interpersonal skills.
  • The ability to be proactive and work independently.
  • Ability to work on own initiative and to tight deadlines.
  • Minimum of 2 years similar work experience.
  • The ability to apply sensitivity and discretion when dealing with confidential information.
  • Strong written and verbal communication skills.
  • Flexibility – the capacity to work flexibly adjusting priorities in order to provide optimum and effective support to solicitor and manager teams.
  • High degree of attention to detail.
  • Good working knowledge of legal terminology and legal practice
  • Legal Secretarial qualification or equivalent work experience in a legal office is essential.

Location

This position will be based in Fitzwilliam Street, Dublin 2.

The successful candidate may work flexibly within their jurisdiction with attendance at the workplace for in-person collaboration on at least one anchor day per week. All smart working arrangements are subject to manager approval and ongoing review, based on the operational requirements of the role, the team, and the individual.

Reporting To

The successful person will report to the Legal Office Manager.

Salary

€31,000 – €37,000 depending on experience
