Administrator Support Analyst

Your Role:

As an Administration Support Analyst within Digital Enablement, you will play a key role in

supporting the Team Lead, and other colleagues, in the management and oversight of the day-to-day support functions required to run the unit.

Your responsibilities will include monitoring of the unit’s budget, contract requirements and

commercial agreements, arranging purchase orders and invoice payments, dealing with 3 rd. parties, and managing the team mailbox, including assigning queries to the relevant team member as well as dealing with queries yourself.

Your Team:

You will work within the Central Administration Team as a member of the Digital Enablement business unit.

This unit is responsible for the delivery of Digital Services for the Bank and teams currently include Business Design & UAT, Digital Capability, Digital Delivery, Release & Production Support teams.

Your Responsibilities:

  • Under the guidance of your line manager, you will track Digital Enablement spends by raising purchase orders and managing the payments of invoices.
  • You will liaise with Procurement and other stakeholders as required.
  • You will maintain detailed and accurate organisational charts, liaising with stakeholders to ensure all updates are recorded in a timely manner.
  • Working with the team, and Procurement, you will support the contract and commercial/ 3 rd. party agreements process.
  • You will positively contribute to the Digital Enablement agenda with a particular focus on improving the understanding of operational and third-party risks and monitoring the implementation and operations of appropriate controls.
  • You will maintain comprehensive documentation in accordance with our standards.
  • Assisting the team, you will produce MI and report on any areas of concern.
  • Monitor the team mailbox including assigning queries to the relevant team member as well as dealing with queries yourself.
  • You will support other ad-hoc or regular administrative and logistics activities.
  • The role and associated responsibilities may change at a future date, in response to IT demand constraints.

Requirements:

  • Ability to organise and prioritise workloads appropriately, with strong attention to detail, and show determination and flexibility to deliver to challenging deadlines.
  • Good analytical, problem-solving, organisational, and interpersonal skills.
  • Strong administrative skills with a key focus on outstanding attention to detail.
  • Ability to demonstrate discretion and confidentiality.
  • Experience in building and managing relationships at all levels of an organisation with capacity and confidence to manage the expectations of senior management.
  • Is adaptable and can problem solve, with strong teamwork, collaboration, trust, and respect ethos.
  • Working knowledge of Microsoft Office specifically Excel, Outlook, Word
  • Analytical skills – capable of evaluating information and providing clear interpretation to team members and management, particularly in cost management/budgets.
  • Strong numeracy skills, ideally, but not necessarily, with some accounting background.
  • Knowledge of Bank’s procurement processes and use of iOS, while not essential, would be of a distinct advantage.
  • Knowledge, whilst not necessarily critical of contracts and experience of contract activities would be of a distinct advantage.
  • Ability to provide regular reporting on key areas, tailoring reports for intended audiences.
  • Ability to work on own initiative without undue supervision being required
